Position Summary
The Human Resources Coordinator supports the day-to-day administration of key HR processes and serves as a primary point of contact for employees, managers, and candidates. This role is responsible for coordinating onboarding activities, maintaining employee records, processing HR transactions, responding to employee inquiries, and supporting compliance-related programs. The ideal candidate is highly organized, detail-oriented, and able to manage multiple priorities while maintaining confidentiality and providing excellent customer service.
Essential Responsibilities
New Hire Onboarding & Orientation
• Coordinate the onboarding process from offer acceptance through employee start date.
• Monitor completion of pre-employment requirements, including background checks, drug screens, and onboarding documentation.
• Communicate hiring clearance and onboarding status updates to branch leadership.
• Coordinate employee start dates and onboarding logistics.
• Facilitate the Human Resources portion of new hire orientation via Microsoft Teams.
• Process and maintain Form I-9 documentation in compliance with federal requirements.
Employee Records & HR Administration
• Create, maintain, and audit personnel files and employee records.
• Process employee data changes within Dayforce, including job, compensation, organizational, and personal information updates.
• Ensure employee records are accurate, complete, and maintained in accordance with company policies and applicable regulations.
• Support HR compliance initiatives and recordkeeping requirements.
Employee Support & HR Operations
• Monitor the HR inbox and respond to routine employee and manager inquiries.
• Escalate complex employee relations, benefits, leave of absence, payroll, or compliance matters to appropriate HR team members.
• Provide exceptional customer service while maintaining confidentiality and professionalism.
Compliance & Program Administration
• Administer the quarterly random drug screening program by:
◦ Requesting random selection lists from the vendor.
◦ Preparing and distributing chain-of-custody documentation.
◦ Monitoring test completion and results.
◦ Maintaining tracking and reporting records.
• Respond to state unemployment claims and requests for separation information.
• Assist with audits, compliance reporting, and other HR-related projects as assigned.
Qualifications
Required Education & Experience
• Bachelor's degree in Business Administration, Human Resources, or a related field required.
• Minimum of one (1) year of Human Resources experience.
• Equivalent combination of education and experience may be considered.
Knowledge, Skills, and Abilities
• Strong attention to detail and organizational skills.
• Ability to effectively manage multiple priorities in a fast-paced environment.
• Demonstrated ability to handle sensitive and confidential information with discretion.
• Excellent verbal and written communication skills.
• Strong customer service and problem-solving abilities.
• Ability to work independently while maintaining a collaborative team approach.
• Proficiency in Microsoft Office Suite, including:
◦ Excel (intermediate)
◦ Word (intermediate)
◦ Outlook (intermediate)
◦ Adobe Acrobat (intermediate)
• Experience with HRIS systems preferred; Dayforce experience is a plus.
Physical Requirements
• Ability to remain stationary and work at a computer for extended periods.
• Ability to communicate effectively through video conferencing, telephone, and email.
• Occasionally move or lift office materials weighing up to 15 pounds.
Work Environment
This position primarily operates in a professional office environment with frequent use of computers, video conferencing platforms, and standard office equipment.
