Role Overview

• Implement and manage project management tools (e.g., Asana, Monday.com, or Notion) to keep projects organized and on schedule.
• Maintains task lists, calendars, and reports to track deadlines and team deliverables.
• Build and manage simple, sustainable systems that help the team stay aligned and productive.
• Support day-to-day operations including scheduling, documentation, and follow-ups.
• Continuously improve internal processes and recommend efficiency tools or automations.
• Create and manage CRMs or structured spreadsheets for tracking contacts, clients, or project data.
• Keep data accurate and updated to support reporting and strategic planning.
• Help standardize data entry, templates, and naming conventions for better consistency.
• Document workflows and SOPs for repeatable success.
• Coordinate with leadership and team members to ensure priorities are clear and tasks are completed on time.
• Balance structure and flexibility — ensuring systems are both efficient and adaptable.

Requirements

• 2+ years of experience in operations, project coordination, or virtual assistance.
• Proven experience using and managing project management tools (Asana required; Monday.com or Notion a plus).
• Experience building or maintaining CRMs or tracking systems (e.g., Google Sheets, Airtable, HubSpot).
• Excellent organization, time management, and communication skills.
• Strong attention to detail and ability to manage multiple priorities.
• Tech-savvy, resourceful, and comfortable learning new tools quickly.
• Self-motivated with a problem-solving mindset and ability to work independently.
• Experience supporting U.S.-based teams is a plus.
