About this role
Role Overview
Coordinate logistics for in-person and virtual surgical education programs, including case observations and Educational Speaker Programs, district labs, webinars, and other programs as needed
Book HCP speaker travel and provide white-glove service to HCP speakers and program stakeholders
Develop event promotional materials and route for medical/legal/regulatory approval
Update event management tool (CVENT) with program budget and other details
Track program metrics, including evaluation data, and maintain accurate records to ensure compliance and continuous improvement
Collaborate with cross-functional teams including the Surgical Education Program Team, Sales, Marketing, Finance, and Compliance to support program execution
Maintain visibility into project progress through project management tool (Asana) and regular updates to stakeholders
Ensure all programs comply with company policies and industry regulations
Identify opportunities for process improvements in local meeting and events execution
Requirements
Bachelor’s degree from an accredited college or university required
5+ years of experience in program coordination, project management, or administrative support required
Experience in meeting planning in a medical device or life sciences industry preferred
Basic understanding of healthcare compliance guidelines related to HCP interactions and education
Strong attention to detail and ability to manage multiple tasks and deadlines
Proficiency in Microsoft Office; familiarity with event management tools (e.g. CVENT), project management tools (e.g., Asana, SmartSheets), and content management systems (e.g. Veeva PromoMats) is a plus
Strong written and verbal communication skills, including the ability to communicate effectively and professionally with external partners
Must be able to speak and write English fluently
