Overseeing and supporting all aspects of speaker bureau programs
Provide support to assigned clients as needed and requested including providing reports and creating presentations for data
Review speaker expenses and honoraria submissions, ensuring accurate processing and timely payments through accounting
Oversee program coordinator communications, addressing compliance or program-related issues promptly
Support program coordinators with daily tasks and ensure smooth program operations
Review and confirm all contracts are populated accurately with approved Fair Market Value (FMV) rates and reflect any updated honorarium and expense guidelines for speaker contracting
Prepare agendas, lead calls, and provide recaps for all weekly client status meetings
Complete bi-monthly revenue recognition for all active programs
Conduct monthly reconciliations for all speaker bureau programs, verifying financial and contract accuracy
Update aggregate spend records in the system or spreadsheets
Generate and review monthly reports for client and internal review
Additional ongoing/as needed tasks
Requirements
Proven experience in managing or coordinating speaker bureau programs
Strong organizational and communication skills
Exceptional attention to detail, especially in contract management, and ability to manage multiple programs and tasks simultaneously
Proficiency with program management and compliance tracking software
Ability to work collaboratively with cross-functional teams in a fast-paced environment
