Role Overview
Greet visitors and ensure the reception area creates a welcoming environment
Ensure efficient execution of administrative procedures and processes central to the department
Respond in a timely manner to requests for information and refer to other resources as appropriate; must provide accurate information on academic policies and procedures
Maintain department records, research information, analyze data, prepare reports, edit and format documents and presentations, and produce standard reports, including those related to academic committee work
Regularly engage with software applications related to student support, including the University’s Academic Alert System, and provide technical support to new users
Manage calendars, contacts and correspondence for the department
Monitor departmental budgets and report on status, variances, and potential issues
Maintain adequate office supplies and other material required for the operation of the department, creating PO's and requisitions and submitting for timely payment
Responsible for departmental communication, including website maintenance
Room scheduling and service requests, as required
May be responsible for the timely and efficient execution of special projects and other work unique to the department as assigned.
Requirements
Bachelor’s degree is required and/or a combination of education and experience
Experience in office administration with strong organizational and communication skills
Demonstrated proficiency in Microsoft Office Suite and Google Docs
Experience demonstrating management skills, including ability to gather, analyze and consolidate data for reporting purposes
Excellent verbal and written communication skills with strong attention to detail
Strong customer service skills and the ability to professionally interact with staff, visitors and students
Flexibility and the ability to manage multiple priorities in a fast-paced environment.
