About this role
Role Overview
As Executive Operations Manager, you support our Chief Operating Officer (Sylvia) in managing all operational business.
You are the right hand for all matters related to supply chain, procurement, warehouse, fulfillment and operational controlling.
You ensure information flows, processes run smoothly, and the COO can focus on strategic tasks.
Your primary goal: provide operational relief to the COO and ensure all areas (purchasing, import/export, order management, warehouse) work together seamlessly.
Operational support for the COO
Calendar and appointment management: maintain the COO’s calendar, coordinate meetings
Email and communication support: triage, prioritize and, where appropriate, respond to important emails
Follow-up management: track action items from meetings and monitor deadlines
Documentation: prepare minutes and document processes
Reporting & controlling support
Compile weekly reports: maintain KPI dashboards using Excel/Google Sheets or other tools
Prepare data: for COO presentations at board meetings
Interface coordination COO ↔ CFO: provide data for cost center accounting (cost of goods sold, inventory costs)
Project support
Process optimization: prepare workshops and document outcomes
System implementations: support rollouts of new tools (e.g. ERP/WMS)
Team communication: prepare newsletters, updates and internal communications
Ad-hoc tasks
Requirements
Completed commercial vocational training (e.g., clerk for office management, freight forwarding/logistics) or a comparable qualification
1–3 years of professional experience in assistance, logistics, supply chain or operational roles
Confident user of Excel (pivot tables, formulas, charts)
You keep an overview even when multiple things are happening at once
Professional interaction with internal teams and external partners (suppliers, carriers)
You identify problems early and propose solutions
German: business fluent (C1/C2)
English: good working knowledge (B1/B2), due to international suppliers
Nice-to-have: experience in e-commerce, retail or logistics
Knowledge of ERP/inventory management systems (e.g., SAP, Sage, Lexware)
Experience with project management tools (Asana, Trello, Notion)
Import/export knowledge (customs, Incoterms)
