About this role
Role Overview
Serve as the primary contact for completing quotations and documentation requests for Sales BDMs.
Manage and coordinate proposal and tender responses, including pricing, scope of works, compliance, and supporting documents.
Prepare accurate cost estimates and quotations for AV and integrated technology systems, aligned with business strategy.
Vet and pre-qualify new project bids both technically and commercially prior to submission.
Collaborate with internal teams (Sales, Engineering, Procurement, Project Management) to gather information and meet submission deadlines.
Assist in reviewing customer proposals to ensure alignment with sales standards and client requirements.
Provide project insight and documentation for internal handovers to delivery teams.
Support major account executives with administrative tasks such as stock management, warranty coordination, and special pricing requests.
Act as an escalation point for complex sales support matters requiring input from technical or operations teams.
Convert technical data into clear, easy-to-understand proposal content.
Provide mentorship to other team members on pricing best practices and proposal standards.
Maintain client communication in a professional and timely manner.
Participate in and contribute to internal reviews and continuous improvement initiatives.
Liaise closely with suppliers and customers via email and phone.
Assist with system updates and categorization of new products via D-Tools in coordination with system administrators.
Perform other duties as assigned by the Chief Revenue Officer.
Requirements
Proven experience in sales support, estimating, or proposal coordination (ideally 2+ years).
Familiarity with audio-visual, integrated systems, or technical services industry.
Strong written and verbal communication skills.
High attention to detail and ability to work within tight deadlines.
Proficient in Microsoft Office (especially Excel, Word, and Outlook).
Strong organizational and multitasking abilities.
Professional communication skills for client and stakeholder interactions.
Experience working with D-Tools, Salesforce, or similar CRM/estimating tools (Nice-to-Haves).
Understanding of project delivery processes and documentation requirements (Nice-to-Haves).
Exposure to global pricing strategies and technical product specifications (Nice-to-Haves).
Background in engineering, IT, or AV systems (technical literacy is a plus) (Nice-to-Haves).
