Provides critical clerical and operational support to ensure seamless event execution and efficient functioning.
Manages the flow of information between clients, conference services managers, and internal departments like housekeeping and food and beverage.
Assist with creating and distributing BEOs, group resumes, internal communication flyers for associate events, and event reader boards.
Acts as the first point of contact for event inquiries (both virtually and in-person), responding to leads and arranging appointments for the managers.
Coordinates room setups, AV needs, and specialized vendor requests.
Assists with on-site needs to include providing coverage for the conference services team during high-activity periods.
Manages office phone line and voicemail, processes invoices, and maintains organized filing systems as well as a welcoming presence at the Conference Services desk.
Requirements
1-3 years of administrative or office experience, preferably within a hospitality or conference setting.
Proficiency in Microsoft Office (Word, Excel, Outlook);
Familiarity with hotel software like Delphi or Opera is highly preferred.
Exceptional verbal and written communication skills for interacting with both corporate clients and internal staff.
Flexibility to work varying shifts, including evenings and weekends, depending on the conference center’s event schedule.
