About this role
Role Overview
Schedule meetings, manage travel and logistics, and liaise with external constituents on behalf of the CMO.
Develop systems to streamline the CMO's workflow; track and direct day-to-day tasks to maximize efficiency and ensure CMO is focused on key needs.
Develop and maintain marketing projects tracker and prepare weekly status summaries.
Own the management and storage of final creative assets, decks, and reports, as well as key departmental documents.
Draft briefs on prospective partners, collaborators, or campaign-aligned opportunities when needed.
Track meeting notes, follow-up tasks, and attendee stewardship steps.
Manage contact lists and logistics for IRL and virtual cultivation events targeted to senior-level marketers.
Ensure current tech stack licenses and passwords are organized and saved.
Requirements
2–3 years of experience in administrative, marketing operations, or project management roles, ideally supporting a senior leader
Excellent organizational and time management skills, with proven ability to track details, manage shifting priorities, and follow through on multiple tasks
Clear and concise written and verbal communication skills, including comfort drafting emails and internal updates in American English
Familiarity with tools like Google Workspace, Monday.com, and Slack and the ability to learn new systems quickly
Experience managing logistics for meetings, travel, or events — or demonstrated transferable experience from roles with similar complexity
Superb attention to detail so that there is confidence that one’s work will not need to be double checked for accuracy
Calm, solution-oriented mindset, especially when navigating last-minute changes or unexpected needs
Proactive and self-directed, with the ability to identify what’s needed, communicate it clearly, and get it done without micromanagement
Excitement about working in a startup or mission-driven organization, where systems are still being built and flexibility is key.
