Trusted support for managers in day-to-day operational activities
Independent handling and administration of all safety registrations/clearances for service technicians at pharmaceutical customers — including preparation, document review and timely submission
Scheduling and coordination of appointments as well as preparation and follow-up for meetings
Creation and maintenance of reports, minutes, presentations and documents
Central point of contact for internal and external inquiries, ensuring smooth information flow
Administrative management of external personnel including contract extensions and invoice verification
Recording and monitoring of time entries charged to projects
Support for strategic and operational tasks within Field Service
Maintenance and development of department-relevant document templates
Support in planning and organizing internal and external training sessions through the CAPS program
Requirements
Completed commercial/administrative vocational training or equivalent qualification
Initial professional experience in customer service is an advantage
Structured, independent and reliable working style
Strong organizational skills and high level of commitment
Team player with strong communication skills and motivational approach when working with colleagues
Confident presence and sense of responsibility when collaborating with different departments and hierarchy levels
Excellent German and business-fluent English, both written and spoken
Confident user of Microsoft Office; SAP knowledge is desirable
