Receive, verify and record invoices (with and without Purchase Order – PO and Non‑PO) in the systems.
Perform 3‑way match (purchase order, goods/services receipt and invoice) for invoices with PO.
Validate mandatory information (CNPJ/CPF, description, cost center, approvers).
Identify and resolve simple discrepancies (price, quantity, taxes), following the approval workflow.
Classify basic accounting entries (general ledger accounts, cost centers and projects).
Prepare payment proposals according to the payment schedule (payment terms, discounts).
Check for holds or errors and contact the responsible teams for resolution.
Support execution of electronic payments and reconciliation of simple rejections.
Generate and file payment confirmations and basic payment reports.
Respond to vendor and internal inquiries (payment status, discrepancies, guidance), maintaining clear communication and meeting defined SLAs.
Escalate out-of-scope cases (price discrepancies, contracts, compliance issues).
Ensure compliance with Accounts Payable (AP) policies, approval matrix, segregation of duties and applicable SOX controls.
Update operational reports (aging, scheduled payments, on-time payments).
Suggest process improvements, template standardization and simple automations.
Maintain and update standard operating procedures (SOPs).
