Supports the contract management team by executing a variety of contract-related activities involving low-complexity agreements
Responsible for drafting, reviewing, routing, tracking, and maintaining contract documentation while ensuring compliance with corporate policies, applicable laws, and customer requirements
Contributes to continuous improvement initiatives aimed at streamlining contract workflows and enhancing documentation practices
Prepares, reviews, and processes low-complexity agreements such as Non-Disclosure Agreements (NDAs), consulting agreements, COTS agreements, and standard supply agreements
Coordinates the review of shipment handover documentation
Maintains accurate and up-to-date contract files, records, logs, and tracking reports
Ensures contract templates and clause libraries are used correctly and consistently
Monitors contract expiry dates and supports standard renewal processes
Supports the preparation of purchase order documentation, contract amendments, and administrative contract updates
Collaborates with senior contract management, legal, business development, operations, and finance teams
Participates in proposal preparation, customer correspondence, and liaison activities
Identifies opportunities to streamline contract intake, routing, approval, and archival processes
Supports the documentation of standard operating procedures (SOPs), workflows, and tools
Assists with the implementation, maintenance, and use of contract management systems (CMS/CLM tools)
Participates in team initiatives focused on improving efficiency, compliance, and reporting
Ensures contracts are administered in accordance with corporate contracting policies, delegations of authority, approval frameworks, applicable laws, regulations, and customer requirements
Supports audit and compliance activities by providing contract documentation and data as required
Requirements
Diploma or Bachelor’s degree in Business Administration, Commerce, Law, Public Administration, Legal Studies, or a related field, or equivalent practical experience
Minimum of 2 years of experience in contract administration, legal operations, procurement, or another document-heavy administrative role (co-op or internship experience will be considered)
Strong attention to detail and accuracy in reviewing contractual documents
Strong organizational and time management skills with the ability to prioritize multiple requests
Basic understanding of contract structures and common contractual terms
Strong written and verbal communication skills
Proficiency with Microsoft Office tools (Word, Excel, SharePoint)
Ability to work independently and collaboratively in a fast-paced environment
Ability to multitask, learn quickly, and demonstrate resourcefulness
