Maintain Smart WFM's governance registers, approvals, risks, policies and operational actions while supporting the Executive Operating Rhythm through governance reporting, action tracking and decision management.
Maintain client agreements, Statements of Work, renewals and commercial documentation while tracking operational obligations, reporting commitments, renewal dates and contract compliance requirements.
Provide para-legal style operational support by coordinating contract reviews, document preparation, legal engagement, issue summaries and compliance activities while ensuring legal advice is obtained from qualified advisors where required.
Work closely with Practice Leaders, Project Managers and Customer Success to ensure contractual commitments are translated into practical delivery activities and remain visible throughout the client lifecycle.
Leverage Microsoft 365, SharePoint, HubSpot, PandaDoc, Kantata, BambooHR and Smart WFM's internal tools to improve governance visibility, automate workflows and maintain high-quality operational data.
Coordinate across leadership, operations, finance, delivery, customer success, insurers and external legal advisors to keep actions progressing, escalate risks early and ensure commitments remain on track.
Continuously improve governance processes, templates, registers and workflows while identifying opportunities to reduce operational risk, improve efficiency and strengthen Smart WFM's operating maturity.
Requirements
Experience in operations, governance, contract administration, project coordination or compliance roles.
Strong contract literacy with the ability to interpret commercial agreements and operational obligations.
Excellent organisational skills with exceptional attention to detail.
Experience coordinating multiple stakeholders and managing competing priorities.
Confidence working with Microsoft 365 and business systems such as SharePoint, HubSpot, PandaDoc, Kantata, BambooHR or similar platforms.
Experience improving business processes and operational workflows.
Exposure to governance, risk management or compliance activities is highly regarded.
Relevant qualifications in Business, Operations, Project Management, Law, Governance or a related discipline are desirable but not mandatory.
