Description & Requirements

The Office Services Assistant plays a critical role in delivering a professional, organized, and efficient workplace environment. This position supports daily office operations, reception services, and administrative coordination to ensure a seamless experience for employees, visitors, and leadership. By partnering closely with Facilities and cross-functional teams, this role helps maintain operational excellence and a high standard of service across the office. This role is 7:30-4:30 M-F in our perimeter mall area office.
A Day in the Life Typically Looks Like:

• Coordinate office operations, including facilities requests, supply management, and workspace upkeep to maintain established office standards.
• Manage training calendars and provide on-site support for scheduled training sessions and meetings.
• Provide front desk coverage, including answering and directing calls, greeting visitors, and issuing access badges.
• Support onboarding and offboarding activities, including preparation of new hire materials and orientation logistics.
• Facilitate meeting and event logistics, including room reservations, catering coordination, beverage service, and building service requests.

Basic Qualifications:

• Prior experience in office administration, reception, or facilities support.
• Proficiency in Microsoft Office applications (Outlook, Word, Excel).
• Experience managing calendars, meeting room reservations, or scheduling systems.
• Ability to manage shipping/receiving tasks and maintain inventory tracking processes.
• Experience supporting cross-functional teams or senior leadership in an administrative capacity.

Preferred Qualifications

• Experience supporting onboarding and offboarding processes.
• Familiarity with facilities management systems (e.g., ticketing platforms, building management tools).
• Experience coordinating catering or event logistics within a corporate environment.
