THE POSITION
The Calgary Stampeders and the CFL will host the 2026 Grey Cup Festival from November 8-14, 2026 and the 113th Grey Cup on November15, 2026 in Calgary, Alberta. This event will consist of a variety of fan activations around the city of Calgary and the downtown core.
Reporting to the Director, Operations, the Event Manager is responsible for planning, coordinating, and executing all operational aspects of Grey Cup Festival events from concept through delivery and post‑event wrap‑up. This role supports multiple events and may assist with others as required.
Events that may fall within the Event Managers’ portfolio are: Kickoff Party, Concerts, Team Parties, Rodeo, Legends Luncheon, CFL-led Events (Media Day, Head Coaches Conference, etc), select third Party Events (Athletes in Action). Please note that Event Managers will not have oversight of all listed and will each be assigned specific events.
KEY ACCOUNTABILITIES
Event Planning
- Assist with the development and creation of event activations, including participation in concept brainstorming, preparation of written outlines, and contribution to budget forecasts for review and approval.
- Support the development of event agendas, run of show documents, and operational timelines as required.
- Coordination of event logistics in conjunction with production team, including event briefs, rentals, décor, and food & beverage requirements.
- Work collaboratively on event load‑in, event‑day execution, and post‑event strike to ensure seamless operations.
- Assist with coordinating pageantry, branding, and directional/wayfinding signage in collaboration with internal teams.
Partner & Vendor Management
- Act as a key point of contact for third‑party vendors, contractors, and facility or site staff on all event‑related items.
- Coordinate with external groups and activation partners regarding schedules, assigned areas, and on‑site requirements.
- Liaise with internal departments and partner teams to support contractual obligations, deliverables, and activation requirements.
- Assist in liaising with key partners and stakeholders involved in event delivery.
- Collaborate with the ticketing department on ticketing platform setup, on‑sale timelines, and sales reporting.
Safety, Security & Compliance
- Support the development and implementation of security, safety, and guest experience plans, including emergency response procedures, health and safety protocols, and risk management measures.
- Work in conjunction with internal teams and external agencies to ensure all regulatory, permitting, and operational requirements are met.
- Assist with on‑site issue resolution related to safety, logistics, and guest experience.
Financial & Administrative Duties
- Assist with tracking event expenses leading up to and during events, and support post‑event invoice tracking and reconciliation.
- Coordinate staffing and volunteer requirements in collaboration with the appropriate program leads.
- Perform additional operational and administrative duties as required to support event delivery.
THE INDIVIDUAL
The ideal individual will have the following background:
- Experience: 5+ years organizing and executing large-scale events, preferably within festivals, sports, entertainment, or live entertainment.
- Skills:
- Strong organizational, strategic planning, and implementation skills.
- Excellent verbal and written communication; ability to create and deliver presentations.
- Ability to develop work-back schedules, critical paths, and meet deadlines under pressure.
- Knowledge of venue operations, safety protocols, and crowd management.
- Experience managing third-party vendors and contractors.
- Technical: Proficiency in Microsoft Office Suite, Adobe products; knowledge of project management and site mapping software(s) such as OnePlan is an asset.
- Other Requirements:
- Ability to work independently and as part of a team.
- Comfortable working for extended periods and performing manual tasks (e.g., carrying equipment during load-in).
- Availability to work evenings and weekends leading up to the Grey Cup, especially November 2–18, 2026.
