Pharmacy Assistant Lead - Billing

The Pharmacy Assistant Lead plays an important role in leading the pharmacy billing function and acting as the first point of contact for various questions related to batch billing process, prescription continuity workflow, and special authority. This position will also support the training of new hires, alongside the Training Lead and Assistant Pharmacy Manager. This role supports pharmacy assistants and billing staff, leads quality assurance initiatives, and works closely with pharmacists, third-party payers, and compliance teams to reduce billing errors, rejected claims, and audit risk.

Role Responsibilities

Key Responsibilities:

• Oversee daily batch billing activities (processing, adjudication and closing batch prescriptions).
• Collaborate with pharmacists to ensure billing accuracy aligns with clinical dispensing practices. 
• Ensure billing practices and processing of bulk prescription authorizations such as but not limited to Physician's Medication Reviews, Medication Reconciliations align with Federal, Provincial, and payer-specific pharmacy regulations.
• Close monitoring and escalation of batched medications for controlled substances to ensure that refills are maintained.
• Assist in the processing and coordination of emergency supplies. 
• Coordinate with the Clinical Consultant Pharmacists and with the team members to ensure that Physician's Medication Reviews are up to date.

• Oversee the processing of rollovers/logging of bulk authorizations in the pharmacy software. 
• Ensure the accurate documentation of completed work in the pharmacy tracking system.
• Work with the pharmacy management to analyze billing and QA data to identify trends and opportunities for improvement 
• Maintain strict confidentiality and ethical standards.
• Assist with incident investigation.

Lead Activities:

• Draft schedules for designate areas for management approval and identify need or opportunity for resource allocation.
• Monitor daily workflow, actively work to manage bottle necks and escalate where appropriate.
• Work with designate managers to reallocate resources and request for resources throughout the day and project periods.
• Conduct training on procedures for new and developing team members.
• Act as a subject matter expert in your area of responsibility including billing processes.
• Assist in the development and maintenance of SOP for your area of responsibility.
• Act as an initial point of contact for customers to address situations that team members may be having difficulty with.
• Manage daily management huddles when the designated manager is absent as applicable.

What You Bring to the Team:

• Minimum of 1 year of experience as a Pharmacy Assistant. 
• Strong operational knowledge of Kroll software (required).
• Comprehensive understanding of PharmaCare adjudication and third-party billing procedures.
• Skilled in managing PharmaCare coverage, co-pay structures, and special authority requests.
• Competency with Microsoft Office Software
• Excellent interpersonal communication skills, able to maintain a professional demeanor when speaking with clientele.
• Strong organizational and time-management skills, with the ability to prioritize competing demands.
• Demonstrated customer service experience; strong motivation to succeed
• Possess a positive, cooperative and team-oriented attitude.

Compensation Range:  $19 to $21 per hour with a $2 Lead premium for all hours of work.  Actual pay rate will be based on the individual candidate’s credentials and experience.

Location: This is on-site role at our 8525-8501 Commerce Court, Burnaby, BC location.
