Trilyon, Inc. is seeking an Assistant Project Manager to support their Real Estate and Workplace team. This role focuses on managing day-to-day project workflows related to construction projects, procurement processes, and coordination among internal and external stakeholders.
Responsibilities:
- Support construction project managers by attending weekly OAC (Owner-Architect-Contractor) meetings
- Manage project documentation, schedules, and budgets using project management tools
- Ensure projects are delivered on time and within scope by tracking progress and dependencies
- Create and submit Purchase Requisitions (PRs) and Purchase Orders (POs) for vendors, equipment, and services
- Track PO status through approval workflows and assist in navigating procurement processes
- Coordinate with senior team members to ensure timely approvals and vendor onboarding
- Submit and track NDAs and vendor agreements through legal systems
- Collect, verify, and maintain Certificates of Insurance (COIs) from vendors and contractors
- Ensure compliance with internal policies and contractual requirements
Requirements:
- 5+ years of experience in real estate and/or construction project support
- Strong organizational skills with the ability to manage multiple tasks and workflows simultaneously
- Experience working with procurement processes (PRs/POs) and approval workflows
- Familiarity with legal coordination and vendor documentation management
- Proficiency in Google Workspace, Slack, and spreadsheet tracking tools
- Ability to work independently with minimal supervision and strong follow-through
- Excellent communication and stakeholder coordination skills
- Experience in commercial real estate or construction project environments
- Familiarity with lease administration concepts (critical dates, landlord/tenant responsibilities)
- Experience using construction project management software
- Background in fast-paced or high-growth corporate environments
