MaximaTek is seeking an experienced UiPath Project Manager for a contract engagement supporting respected health systems in the United States. The role involves managing the end-to-end lifecycle of RPA and intelligent automation initiatives, bridging the gap between clinical and business stakeholders, and ensuring compliance with healthcare regulations.
Responsibilities:
- Own the full automation project lifecycle — intake, discovery, design, build, UAT, deployment, and hypercare — across multiple concurrent workstreams at both client organizations
- Develop and maintain detailed project plans, WBS, resource matrices, risk registers, RAID logs, and executive dashboards aligned with each client's PMO standards
- Manage the automation demand pipeline in coordination with the Director, ensuring prioritization aligns with organizational strategy and patient-care goals
- Facilitate steering committee meetings, sprint reviews, and executive briefings; provide transparent reporting on schedule, budget, scope, and value delivery
- Track and report automation KPIs — FTE savings, cost avoidance, error reduction, cycle-time improvement — to the Director on a regular cadence
- Serve as the primary liaison between clinical and business process owners, IT, the UiPath CoE, and the Director of Intelligent Automation at each client site
- Lead process-discovery workshops, current-state / future-state analyses, and solution-design sessions with multidisciplinary stakeholders across clinical, operational, and administrative functions
- Partner with clinical informatics and EHR integration teams to ensure automation solutions work correctly within established healthcare workflows — including Epic (MyChart, OpTime, Beaker) at client and Cerner / Meditech environments at client
- Engage revenue cycle leadership to scope and deliver automation for prior authorization, claims adjudication, eligibility verification, charge capture, and related RCM processes
- Translate complex automation capabilities into clear business-value narratives for clinical leaders, frontline staff, finance teams, and C-suite sponsors
- Navigate large, matrixed health system environments — including client's 140+ hospital network across 19 states and client's rural and regional care network — with strong organizational agility
- Lead cross-functional delivery teams of UiPath developers, business analysts, QA engineers, infrastructure specialists, and change-management resources
- Ensure all solutions are designed and built in accordance with UiPath best practices, CoE standards, reusable component frameworks, and each client's IT architecture guidelines
- Oversee UAT planning, test case development, execution, defect management, and formal sign-off with business process owners and the Director prior to production deployment
- Apply Agile/Scrum, hybrid, or waterfall PM methodologies as appropriate to each initiative's complexity and organizational risk profile
- Manage change requests, scope decisions, and dependency tracking; escalate blockers proactively to prevent delivery risk
- Ensure all automation solutions comply with HIPAA Privacy & Security Rules, HITECH, 21 CFR Part 11, and both clients' internal data governance and security policies
- Coordinate with Information Security and Privacy / Compliance teams to conduct risk assessments for robots that access Protected Health Information (PHI) or Personally Identifiable Information (PII)
- Maintain complete project documentation, audit trails, and validation records required for regulated healthcare environments and Joint Commission or HITRUST audit readiness
- Manage SLA monitoring and production incident-management processes; escalate critical issues to the Director as needed
- Support vendor management of UiPath licensing, support escalations, and platform roadmap alignment for each client
- Contribute to the maturation of each organization's Intelligent Automation CoE: governance frameworks, delivery playbooks, reusable component libraries, and onboarding documentation
- Monitor UiPath platform releases and evaluate opportunities to leverage advanced AI/ML capabilities — including Document Understanding, Process Mining, Test Suite, and AI Center
- Identify and document automation opportunities across clinical workflows (patient scheduling, prior auth, clinical documentation support), revenue cycle, and administrative back-office functions
- Coach and mentor junior project coordinators and business analysts embedded within the automation programs at each client
Requirements:
- Bachelor's degree in Healthcare Administration, Information Systems, Computer Science, Business, or a related field (or equivalent experience)
- 5+ years of project management experience, with a minimum of 2 years leading UiPath or equivalent RPA platform implementations in production environments
- Proven track record of delivering automation projects in a healthcare, health-plan, academic medical center, or large hospital system environment
- Working knowledge of HIPAA, HITECH, and healthcare IT systems — with hands-on experience supporting Epic, Cerner, Meditech, or comparable EHR platforms
- Direct experience integrating automation solutions with Epic modules (MyChart, OpTime, Beaker) and/or Cerner or Meditech workflows in large hospital system environments
- Demonstrated experience in revenue cycle management (RCM) automation: prior authorization, claims processing, eligibility verification, and/or charge capture
- Proficiency in PM methodologies: PMP, Agile/Scrum, PMI-ACP, or SAFe
- Strong command of project and collaboration tools: Jira, Confluence, MS Project, Azure DevOps, or equivalent
- Ability to manage multiple concurrent projects with competing priorities in large, matrixed healthcare organizations
- Exceptional communication, facilitation, and executive-presentation skills; comfortable presenting to Director-level and VP-level audiences
- UiPath Certified Professional — Advanced RPA Developer (UiARD) or equivalent UiPath platform certification
- PMP, PMI-ACP, or SAFe 5 Agilist / SAFe 6 certification
- Hands-on experience with UiPath Automation Hub, Orchestrator, Process Mining, Test Suite, and AI Center
- Experience with HL7/FHIR-based API integrations and interoperability platforms (MuleSoft, Azure API Management, or similar)
- Familiarity with clinical workflow automation: patient scheduling, clinical documentation support, prior authorization automation, and care coordination
- Experience supporting large non-profit or Catholic health system environments (Ascension scale) and/or rural / regional health networks (Sanford scale)
- Six Sigma Green Belt or Lean Healthcare certification
- Experience with HITRUST CSF, SOC 2 Type II, or Joint Commission compliance frameworks
- Background in change management methodologies (Prosci ADKAR, Kotter, or equivalent) applied to automation adoption
