Provide administrative support for team members across the organization
Schedule meetings to include both internal and external parties
Coordinate and book international and domestic travel needs for team members
Submit team expenses and credit card reconciliations in a timely manner and within our company’s policy
Assist with meeting planning such as sourcing hotels, meeting space, conference registration and tracking tasks
Assist with special projects such as all company events and offsites, onboarding/offboarding contractors and employees and contributing to our Admin SharePoint site
Build strong cross-functional relationships and partner with other administrators to ensure a high functioning & collaborative admin team environment
Requirements
2+ years’ related experience as an administrative assistant
Bachelor’s degree and/or equivalent work experience
Experience directly supporting Senior Directors/Directors, Sr. Managers/Managers is preferred
Biotechnology industry strongly preferred
Excellent communication skills, both written and verbal. Communicates clearly, concisely and in a highly professional and timely manner with all internal and external partners
Experience managing and maintaining sensitive complex calendars of in-person, video, and external meetings across multiple global time zones, while working closely with teams and other EAs within the organization
Exceptional time management and organizational skills with a strong attention to detail
Proficient in Microsoft Office suite: Word, Excel, PowerPoint, Outlook & Teams with the ability to learn new programs, such as SharePoint, Forms, RAMP and Concur for T&E.
Ability and willingness to travel up to 10%.
