Manage and coordinate calendar availability for portfolio reviews, gate reviews, program sessions, steering teams, and portfolio management team meetings
Prepare meeting agendas, capture minutes, track action items, and follow up with owners
Support team’s logistical needs including room reservations, meeting setup, documentation posting, and purchase order requisitions
Collect, validate, consolidate, and distribute portfolio and program status updates
Compile key performance indicators and metrics through clear, concise visualizations
Develop high quality PowerPoint presentations for portfolio and program updates, steering teams, and sponsor briefings
Assist project and change managers with maintaining project and resource plans, schedules, and RAID logs
Ensure compliance with lifecycle processes, governance requirements, and documentation standards
Audit key portfolio management documents for completeness, accuracy and alignment with portfolio management standards
Promote consistent use of portfolio management methodologies, templates, and best practices
Assist in process improvement initiatives including tool enhancements, template updates, workflow optimization, and governance enhancements
Requirements
Associate’s degree in business, project management, or related field required or equivalent experience; bachelor’s degree preferred
1–3 years of experience in project coordination, project management, or a related administrative role
Excellent organizational skills with strong attention to detail
Ability to manage multiple priorities and deadlines in parallel
Strong critical thinking abilities with proactive problem-solving skills
Ability to build relationships, collaborate effectively, and influence at all levels
Proficiency in Microsoft Office, especially Excel, PowerPoint, Teams, and collaboration tools
Strong written and verbal communication skills
Comfortable working in a fast-paced environment with evolving needs
