Provide high‑quality administrative support to the Chief People Officer and the Human Resources team
Manage calendars, meetings, expenses, suppliers, orders, inquiries about Circana procedures, association memberships, invoice tracking, and work in DocuSign and Adobe
Build strong working relationships with senior leaders, stakeholders, and vendors through clear and consistent communication
Maintain professionalism and strict confidentiality in all interactions and with all materials
Support day‑to‑day team needs, including maintaining distribution lists and the HR team calendar
Coordinate cross‑functional meetings and training sessions
Plan and support meetings (in person and virtual), capture and transcribe minutes, track action items and deliverables, and coordinate events, travel, and accommodations
Maintain accurate records of HR and corporate documents, including decisions and approvals
Review and refine administrative processes to keep work running smoothly
Requirements
5+ years of experience supporting C‑level executives
Strong professionalism, business judgment, and maturity
Excellent organizational, written, and verbal communication skills with strong attention to detail
High proficiency in MS Office and related platforms such as MS Teams
Strong project and task management skills
Ability to manage multiple priorities and stay adaptable in a fast‑paced environment
Experience with scheduling and calendar management
Willingness to adjust hours when needed for early or late meetings
