Manage the EIR’s calendar, including scheduling meetings, prioritizing appointments, and resolving conflicts.
Coordinate meetings with internal teams, external partners, and collaborators across departments, working closely with the other executive leadership admin teams.
Screen and respond to emails and other communications on behalf of the EIR.
Prepare agendas, take meeting notes, and follow up on action items.
Arrange domestic and international travel, including itineraries and logistics.
Process monthly expense reports and maintain accurate records.
Assist in the preparation of presentations, reports, and other executive-level documents.
Support planning and execution of team offsites, product reviews, and executive team summits.
Maintain confidentiality and oversee sensitive information with discretion.
Collaborate with other executive assistants and department coordinators to ensure alignment across the organization.
Track key product achievements and assist in compiling updates for executive reporting.
Automate / Improve Executive Support Using AI.
Use project management software (Asana) to track open items and needs from executive and surrounding collaborations.
Conduct research and gather data to support critical initiatives.
Requirements
Bachelor’s degree preferred
10+ years of experience in an executive support role, preferably in a tech or product-driven organization
Able to work outside of normal business hours and be on call as needed
Proficiency in Microsoft Office Suite, Google Workspace, and collaboration tools like Slack, Asana, or Notion
Experience using AI technologies to streamline and enhance administrative tasks
