The Private Pay Collections Specialist is responsible for managing the collection of outstanding private pay balances for Skilled Nursing Facilities (SNFs) within the organization.
This role requires a strong understanding of billing practices, financial adjustments, and resident responsibility balances.
The ideal candidate will proactively work aged accounts, make collection calls to responsible parties, coordinate with Business Office Managers (BOMs) and Central Billing Office (CBO) staff, and ensure timely and accurate follow-up on all private pay receivables.
Review and analyze aged private pay accounts across multiple SNF locations to identify collection opportunities or issues.
Initiate and document private pay collection calls to residents, family members, or responsible parties to resolve outstanding balances in a professional and compassionate manner.
Collaborate with facility Business Office Managers to obtain missing information, resolve billing discrepancies, and confirm payer responsibility.
Submit appropriate adjustment requests for bad debt (BD) or cost reportable write-offs in accordance with organizational policy and federal/state guidelines.
Maintain accurate and timely documentation of all collection efforts and adjustment activity in the billing system.
Report findings and trends regularly to the Senior Manager of Private Pay and Collections, including barriers to collection and opportunities for process improvement.
Partner with CBO team members to ensure alignment between billing, collections, and posting functions.
Ensure compliance with HIPAA regulations and internal policies during resident and family communications.
Support the development and implementation of private pay collection best practices across all facilities.
Assist with account escalations, payment plan setups, and formal demand notices as need.
Requirements

Minimum 2 years of experience in long-term care billing and collections, with a focus on private pay accounts required
High school diploma or equivalent required; Associate’s or Bachelor’s degree in Business, Finance, or related field preferred.
Experience making outbound collection calls in a healthcare or senior living environment strongly preferred.
Knowledge of SNF billing practices, payer responsibility structures, and cost reporting principles.
Must be able to work well with others in a team environment
Proficiency in Microsoft Word, Excel, and Outlook required
