Lead the end-to-end strategy, planning, and execution of the annual Prophix User Conference, including venue sourcing, contract negotiation, logistics, sponsorship, registration, agenda development, and on-site management
Own the global tradeshow and industry events calendar, researching and selecting events that maximize brand visibility, lead generation, and pipeline contribution
Develop and manage detailed critical paths, runs of show, briefing documents, and post-event debriefs to ensure flawless execution across all events
Partner with Marketing, Sales, Customer Success, Product, and Executive stakeholders to align event strategy with business priorities and revenue goals
Establish, monitor, and report on the annual events budget, identifying efficiencies and reconciling final accounting with Finance
Track and report on key event metrics including attendance, qualified leads, pipeline influence, and post-event conversion in partnership with Sales
Manage and develop one direct report, and coordinate external agencies, vendors, and event staff, overseeing contracts, deliverables, and performance
Drive continuous innovation across event formats and experiences, leveraging AI tools and emerging technology to improve speed, efficiency, and attendee engagement
Requirements
7+ years of progressive experience in corporate event planning, including large-scale conferences, tradeshows, and industry events across live, hybrid, and virtual formats
Demonstrated ability to build and manage an annual events strategy with measurable pipeline influence and ROI outcomes
Experience managing large event budgets, including vendor negotiation, invoice reconciliation, and cost optimization
Experience managing or mentoring team members, as well as coordinating external agencies and vendors
Proficiency in Salesforce, Eloqua, and Microsoft Office; comfortable adopting project management tools and AI-powered solutions to drive efficiency
Strong interpersonal and communication skills — written, verbal, and in-person — with a high degree of professionalism
Ability to think strategically while maintaining sharp attention to execution detail
Must be legally entitled to work in the country where the role is located
Must be able to travel domestically and internationally (minimum 25% annually) with a valid passport
