Zywave is seeking a highly organized, collaborative PMO professional to join their Marketing Operations team. In this role, you will drive structure, visibility, and accountability across major marketing initiatives, supporting cross-functional teams by establishing project frameworks and managing workflows.
Responsibilities:
- Build and maintain structured project plans, workflows, and milestone tracking for major marketing initiatives
- Establish consistent processes for scoping, prioritization, documentation, and reporting
- Facilitate project kickoffs, weekly syncs, and post-project reviews
- Ensure stakeholders have clarity on roles, responsibilities, dependencies, and expectations
- Serve as a central coordination point across Marketing, Product, Sales, and Revenue Operations
- Drive alignment between teams to ensure projects move forward as planned
- Provide proactive communication and updates to keep all team members informed and engaged
- Support leadership visibility into project status, risks, and resource needs
- Develop and refine templates, workflows, and best practices for project intake, planning, and execution
- Identify operational gaps or inefficiencies and recommend process improvements
- Support workflow governance across key marketing functions such as campaigns, operational updates, content production, and events
- Manage project tracking within Monday.com (or equivalent tools) and ensure dashboards reflect accurate, timely progress
- Partner with Marketing Operations to enhance tooling, automations, and reporting
- Maintain consistent documentation and record-keeping across systems
Requirements:
- 3–5+ years of experience in a PMO, program coordination, project support, or operational role
- Strong organizational skills with the ability to manage multiple deliverables simultaneously
- Excellent communication, meeting facilitation, and stakeholder management skills
- Ability to influence across teams without formal authority
- Experience with workflow/project tools (e.g., Monday.com, Asana, Wrike, Smartsheet, Jira)
- Comfort navigating ambiguity and driving clarity
- Experience in marketing operations or supporting a marketing organization
- Background in B2B SaaS or a similarly complex, cross-functional environment
- Familiarity with Agile or hybrid project methodologies
- PMO, CAPM, PMP, or similar process-oriented certification
